We collect the following information when you use Easy Feedback: • Account data: your name, email address, and organisation name provided during sign-up. • Survey response data: ratings and comments submitted by your customers in response to surveys you send. • Usage data: pages visited, features used, and actions taken within the application, collected via server logs and analytics. • Payment data: billing details are handled directly by our payment processor and are never stored on our servers.

We use collected data to: • Provide and operate the Easy Feedback service on your behalf. • Send transactional emails (survey invitations, reminders, weekly digests) using the contact details you supply. • Improve the product through aggregated, anonymised usage analytics. • Respond to support requests and communicate service-related updates. We do not sell your data or your customers' data to any third party, and we do not use it for advertising purposes.

Easy Feedback relies on the following sub-processors to deliver the service: • Convex (convex.dev) — our backend database and serverless compute provider. All application data is stored and processed on Convex infrastructure. • Clerk (clerk.com) — user authentication and account management. Clerk stores your name and email address for sign-in purposes. • Resend (resend.com) — transactional email delivery. Survey emails, reminders, and digest emails are sent via Resend. Each sub-processor is bound by a data processing agreement and operates appropriate technical and organisational security measures.

We retain your account data and survey response data for as long as your account remains active. If you cancel your subscription: • You may export your data at any time from the dashboard before cancellation. • Account and response data is deleted within 30 days of account closure, unless we are required by law to retain it for longer. • Anonymised, aggregated analytics data may be retained indefinitely as it cannot be linked back to you.

If you are located in the UK or European Economic Area, you have the right to access, rectify, or erase personal data we hold about you. You may also object to or restrict certain processing, and request a portable copy of your data. To exercise any of these rights, email us at privacy@easyfeedback.app. We will respond within 30 days.

We use strictly necessary cookies to maintain your authenticated session. We do not use advertising or tracking cookies. No third-party analytics scripts are loaded on survey response pages.

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by displaying a notice in the application. Continued use of the service after changes take effect constitutes acceptance of the revised policy.
